Request for Proposal: Event Organizer and Creative Service for I-CAN Launch & Think Tank Forum

IPB University, in collaboration with the University of Waterloo FINCAPES Project, is seeking a professional Event Organizer to manage the I-CAN Launch & Think Tank Forum.

This two-day event will take place in Bogor City on October 29-30, 2025. The event aims to officially launch the Centre for Applied Research in Nature-based Solutions (I-CAN) and foster policy dialogue on sustainable forestry.

We are currently accepting proposals for the following:

Event Organizer:

We are looking for a professional Event Organizer to provide comprehensive, end-to-end event management services, including on-site and virtual support.

Day 1 (In-person): The I-CAN Launch & Think Tank Forum is a high-level event for approximately 115 participants. The event organizer's scope includes venue management, audiovisual production, graphic design, and on-site support.
Day 2 (Hybrid): The I-CAN Synergy on Multidisciplinary Collaborative Study is a smaller, focused meeting for about 30 participants. The vendor will manage a Zoom Webinar for both in-person and virtual attendees.
Budget: The maximum funding available for this proposal is IDR 100,000,000.

Short Video Production:

We are also seeking a professional Video Production Company to create a 3-5 minute animated video.

This video will explain I-CAN's mission and its three key pillars, and will be a key visual element of the forum.
The maximum funding available for this proposal is IDR 30,000,000.
